What to put on a plumbing invoice

  • Your business name and ABN, and “Tax invoice” if you're registered for GST.
  • Your plumbing licence number. Licensing is state-based; showing the number on invoices helps customers and builders confirm you're licensed.
  • The call-out fee and any after-hours surcharge as separate lines. Emergency work is where billing questions usually come from.
  • Parts listed clearly: brand and size for hot water systems, valves and fixtures, so warranty claims are simple.
  • The compliance certificate number for work that needs one, and the job address if it's not the billing address.

Hot water systems and big-ticket parts

Hot water replacements often cross $1,000. On a tax invoice of $1,000 or more you must show your customer's name or ABN as well. List the unit, installation and disposal of the old system as separate lines so the customer can see the split.

Subcontracting: TPAR

Businesses in building and construction that pay contractors report those payments to the ATO each year (TPAR, due 28 August). If you subcontract to a builder, accurate invoices with your ABN make their reporting, and your payment, smoother.

Questions

How do I invoice an after-hours call-out?

Put the after-hours surcharge on its own line with the time of the call-out. Customers accept it more readily when it's clearly separated from the standard rate.

Do I need the customer's ABN?

On a tax invoice of $1,000 or more you need the customer's name or ABN. For a homeowner, their name is enough.

Is there a version without GST?

Yes. If you're not registered for GST, download the no-GST version, titled “Invoice”.
