What to put on a cleaning invoice

  • Your business name and ABN. Many cleaners aren't registered for GST; if that's you, use the no-GST version, titled “Invoice”.
  • The date or dates of service, especially for weekly or fortnightly clients you invoice monthly.
  • Hourly or flat rate. “Regular clean, 3 hours at $55” or “End-of-lease clean, 3-bedroom: $450”. Pick one per line so the total is easy to check.
  • Add-ons as separate lines: ovens, windows, carpets.
  • Supplies, if you charge for them, on their own line.

Cleaning for businesses: ABN and TPAR

Cleaning is one of the industries in the ATO's taxable payments reporting system: cleaning businesses that pay contractors report those payments each year (TPAR, due 28 August). The ATO's own example of a contractor is a person who cleans premises once a week with their own equipment. If that person doesn't quote an ABN, the payer must withhold 47% of the payment. Your ABN on every invoice avoids that.

Regular clients

For weekly or fortnightly cleans, many cleaners invoice once a month with one line per visit and its date. It keeps everything on one invoice and makes it easy for the client to check.

Questions

Should cleaners charge by the hour or by the job?

Either works on an invoice. Hourly suits regular cleans; flat rates suit end-of-lease and one-off jobs. Be consistent within a line so the customer can check it.

Do I need an ABN to invoice for cleaning?

If you're running a cleaning business, yes. Without an ABN on your invoice, a business that pays you generally has to withhold 47% of the payment.

Do I charge GST on cleaning?

Only if you're registered for GST, which you must be once your GST turnover reaches $75,000 a year.
